Short answer
A datasheet is not just a file name. Teams should record the exact model, language, revision or issue date, source URL, receipt date and approval status so design and procurement use the same technical basis.
Document control
Create one controlled register
Store each received file with model, power range, language, source and date. Avoid replacing an older file silently when it has already supported a decision.
Link changes to affected work
When a revision changes, compare fields that matter to layout, electrical design, structure, documentation and purchasing. Record whether drawings or calculations need review.
Freeze the transaction basis
Before order and technical approval, identify the documents that govern the selected product. Later files should enter through a documented change process.
A document change log
Keep one review baseline while preserving earlier evidence.
Received file
File name / issuer / issue or revision date as printed / language / received date / exact model and bins. If revision is absent, record not stated.
Changed field
Old value and page / new value and page / reason supplied by issuer / impact on calculations, certificates, layout and quotation.
Control status
Accepted baseline / superseded / pending clarification; assigned approver and downstream files updated. Do not invent a revision identifier for an undated PDF.
