Request-for-quotation preparation

How do you prepare a complete RFQ for photovoltaic modules?

Build a photovoltaic module RFQ that aligns technical scope, documents, quantity, delivery and commercial response format.

Short answer

A useful request for quotation (RFQ) gives every supplier the same decision basis. It identifies project and destination, requested model or performance range, quantity, technical boundaries, required documents, inspection, delivery, schedule, quotation format and deviation process.

Request-for-quotation preparation

Define the product without over-constraining it

State the exact model when fixed. If alternatives are permitted, state measurable requirements and require a full deviation table rather than accepting a vague equivalent.

Make delivery and document scope explicit

List destination, quantity basis, packaging data, Incoterm, required dates, certificates, warranty documents, datasheet language and submission deadlines.

Standardize the supplier response

Provide a price schedule and response checklist. Require validity, payment, exclusions, lead time, manufacturing source, model revision and named attachments in the same order.

A response schedule to attach to the RFQ

Give each bidder the same fields and a place to state exceptions.

Technical response
Requested criterion / offered exact model and value / datasheet page / certificate or warranty attachment / comply or deviation.
Commercial response
Quantity basis / unit and total price / currency / Incoterm and place / exclusions / payment / validity / offered schedule, not a website assumption.
Submission control
Supplier contact / named files and revisions / deadline / clarification log / deviation decision owner / authorized signature where required.

Record template: replace prompts with project evidence and retain unresolved items. It does not authorize purchase, installation or release.

  2. Model or measurable requirements
  3. Quantity and delivery basis
  4. Technical and quality documents
  5. Commercial schedule and deviation form

FAQ

Frequently asked questions

Should an RFQ ask only for price and wattage?

No. That creates offers with different scope and weak comparability.

Can alternatives be invited?

Yes, if requirements and the deviation-review process are clear.

When should required documents be listed?

In the RFQ, before suppliers price and commit.
